Protocol for Virtual Only or Hybrid Meetings

If you are attending virtually, here is what you need to know.

1. For Notice of Meeting and Arrival, members should take note of the following.

  1. Meeting Notices will indicate the meeting format: either in-person (only), virtual (only), or hybrid, and will include a join link, if applicable.
  2. Members are encouraged to complete the RSVP form that will be included, and indicate how they will be joining. e.g., virtually or in-person.
  3. Individual Members joining virtually should have their full name(s) as their sign-in name, and have their camera on when first joining.

[Note: Members will not be counted towards quorum if they can only participate via chat.]

2. For seeking the floor for the purpose of speaking virtually: a member joining should use the raise hand function and turn on their mic and are encouraged to turn on their camera.

[Note: If recognized to speak, a member shall present questions/comments verbally, not via text.]

3. For those wanting to participate in voting virtually: a member should engage their camera and raise hand function while raising their hand.

[Note: For decisions that arise requiring a secret vote, an in-person (only) meeting will be required.]
